These Terms of Service ("Terms") govern your access to voldeluxe.com, communications with Voldeluxe Travel LLC ("Voldeluxe," "we," "us," or "our"), and any travel search, quote, reservation, ticket, hotel stay, group arrangement, corporate travel service, or other travel-related service that we arrange or provide. By using our website, requesting a quote, authorizing a booking, making payment, or accepting travel documents from us, you agree to these Terms. Voldeluxe acts primarily as a travel agency and intermediary — airlines, hotels, ground operators and other suppliers provide the underlying travel services and impose their own contracts, fare rules, conditions of carriage, cancellation rules and operational policies, and those supplier terms apply in addition to these Terms.
1. Who you're booking with
Voldeluxe Travel LLC is a U.S.-based travel agency. For airline transactions processed through ARC, Voldeluxe may issue and report tickets through the ARC settlement system when authorized to do so. ARC accreditation does not make Voldeluxe the airline, hotel, tour operator or other travel supplier.
Except where we expressly identify Voldeluxe as the provider of a particular service, we act as an agent or intermediary in arranging travel supplied by third parties. The supplier remains responsible for operating the flight, hotel, transfer, tour or other underlying service.
2. Quotes, search results and availability
Airfares, hotel rates, availability, schedules, seat maps, baggage information, connection times and other travel content can change at any time. A quote or search result is not guaranteed until the booking has been accepted by the applicable supplier and, for air travel, a valid ticket number has been issued when ticketing is required.
Fares may be sourced from airline-direct content, ARC/GDS content, NDC connections, consolidators, wholesalers, hotel suppliers or other lawful travel sources. Two apparently similar fares may have different baggage, refund, change, seat, loyalty-credit or other conditions.
We may correct obvious pricing, display, currency, tax, availability or system errors before ticketing or confirmation. If an error is discovered after payment but before valid supplier confirmation, we may void or refund the affected transaction or offer available alternatives, subject to applicable law.
3. Price display, taxes and fees
Unless clearly stated otherwise, prices shown for air travel are per traveler for the trip type displayed and are subject to availability. Taxes, government charges, carrier-imposed charges and Voldeluxe service fees will be disclosed before final purchase where required and applicable.
Optional supplier charges may be payable separately, including checked baggage, carry-on baggage, advance seat selection, meals, lounge access, resort or destination fees, parking, transfers, visa fees or other ancillary services.
Voldeluxe service or consultation fees, if any, are separate from supplier penalties. Any nonrefundable Voldeluxe service fee will be clearly disclosed before purchase. Where applicable law requires a refund of airfare, a properly disclosed fee for services already performed by Voldeluxe may remain nonrefundable to the extent permitted by law.
4. Traveler information and name accuracy
You are responsible for providing complete and accurate traveler information. Passenger names must match the travel document that will be used for the trip. Date of birth, gender marker, passport information, Known Traveler Number, Redress Number and other required data must be accurate.
Name corrections are subject to airline and supplier rules. Some tickets cannot be transferred to another person, and some corrections may require reissue, a fare difference or a new ticket. Voldeluxe is not responsible for costs caused by inaccurate information supplied by the traveler or booking contact.
5. Booking authorization
By instructing us to book, clicking a purchase or confirmation control, providing payment authorization, or otherwise approving an itinerary and price, you authorize Voldeluxe to arrange the selected services and to transmit necessary traveler and payment information to suppliers and service providers.
If you book for another person, you represent that you are authorized to provide their information, make decisions on their behalf for the booking, and communicate these Terms and applicable supplier rules to them.
6. Payment, card authorization and fraud prevention
Payment may be collected by Voldeluxe, an airline, a hotel, a consolidator, a payment processor or another supplier. The merchant name on your card statement may therefore differ depending on the transaction. We may use fraud-screening, identity-verification or authentication tools, including 3-D Secure where available.
You authorize the amounts disclosed at checkout or otherwise approved in writing or recorded communication. You must not initiate a chargeback for a valid charge merely because a supplier refund is pending or a fare rule is unfavorable. Nothing in these Terms limits legitimate rights to dispute unauthorized or legally invalid charges.
If payment is reversed, rejected, suspected to be fraudulent or otherwise fails after a reservation is made, the supplier may cancel the reservation or ticket. You remain responsible for valid charges, supplier penalties and disclosed fees to the extent permitted by law.
7. Ticketing and confirmation
A reservation locator, itinerary email or payment receipt alone may not prove that an airline ticket has been issued. For ticketed air travel, review the e-ticket receipt and ticket number. Contact us promptly if expected ticket documents are not received.
After confirmation, review names, dates, airports, flight numbers, cabin, baggage information and other details immediately. Report discrepancies without delay, because supplier change rules may become more restrictive over time.
8. Voluntary changes, cancellations and no-shows
Changes and cancellations requested by the traveler are governed by the applicable fare or rate rules and supplier policies. Charges may include supplier penalties, fare differences, tax differences and any Voldeluxe service fee disclosed for the service performed.
Failure to travel or cancel before departure (a "no-show") can cause a ticket, segment or remaining itinerary to lose value under supplier rules. Travelers should contact Voldeluxe or the supplier as soon as possible if they cannot travel.
Airline ticket coupons generally must be used in sequence. Skipping a segment may cause remaining segments to cancel. Do not use hidden-city, back-to-back or other ticketing practices that violate carrier rules.
9. Airline cancellations, significant changes and refund rights
If an airline cancels or significantly changes a flight to, from or within the United States, refund rights may arise under U.S. Department of Transportation rules when the passenger does not accept alternative transportation, credits, vouchers or other substitute compensation.
The entity responsible for processing an airfare refund may depend on who is the merchant of record for the ticket transaction. Voldeluxe will process refunds for transactions for which it is legally responsible as merchant of record, and will assist with supplier-controlled refunds for other transactions.
Refund timing can depend on the payment path, supplier processing and applicable law. Optional airline ancillary fees — for example, certain baggage or seat fees — may need to be requested directly from the airline.
10. Schedule changes, irregular operations and reaccommodation
Airlines may change schedules, aircraft, airports, operating carriers or flight numbers. We will use reasonable efforts to relay material schedule changes that we receive, but travelers are responsible for monitoring their itinerary and contact details.
During same-day disruptions, the operating airline controls airport reaccommodation and operational decisions. Voldeluxe may assist remotely where practical but cannot control airline inventory, airport queues, crew availability, weather decisions or compensation.
11. Seats, baggage, meals and special requests
Seat assignments, family seating, bassinets, wheelchairs, meals, baggage allowances, special equipment and other requests are controlled by the supplier and are not guaranteed unless specifically confirmed by that supplier.
Where we assist with family seating or accessibility requests, we submit or coordinate the request based on the information provided. Aircraft substitutions and operational changes can alter seat assignments even after confirmation.
Baggage liability, delayed or lost baggage claims and refunds of airline baggage fees are generally handled by the airline under its rules and applicable law.
12. Passports, visas, transit rules and entry requirements
Each traveler is responsible for holding valid passports, visas, transit visas, permits, health documents and any other documents required by destination, transit country, carrier or government authorities.
Voldeluxe may provide general information or a checklist as a convenience, but requirements change and final responsibility remains with the traveler. Verify current rules with the relevant embassy, consulate, government authority and airline before travel.
Voldeluxe is not responsible for denied boarding, denied entry, deportation, fines or additional travel costs resulting from incomplete, expired or insufficient traveler documentation, except to the extent caused by our own legally actionable error.
13. Health, safety and travel advisories
Travel involves risks that vary by destination. Travelers should review government travel advisories, health guidance and destination conditions and make their own decisions about whether to travel.
Voldeluxe does not provide medical advice and does not guarantee the safety, security or suitability of any destination, carrier, hotel or activity.
14. Hotels and stays
Hotel availability, room type, bedding, occupancy, view, amenities, breakfast, resort or destination fees, deposits, check-in age requirements and cancellation rules are determined by the property or supplier.
Some partner or contracted rates may be subject to restrictions and may not be publicly displayable. Final rate conditions will be provided before booking confirmation.
Photos, descriptions, star classifications and amenity information may be supplied by properties or third parties. We do not warrant that every descriptive detail will remain unchanged at the time of stay.
15. Group and corporate travel
Group and corporate bookings may be subject to separate written proposals, deposit schedules, name deadlines, utilization rules, payment terms, cancellation schedules and supplier contracts. If a signed group or corporate agreement conflicts with these Terms, the signed agreement controls for that booking to the extent of the conflict.
Airline "group fares" are not guaranteed to be lower than public fares. Depending on inventory and trip needs, Voldeluxe may recommend group space, published fares or another coordinated booking method.
16. Travel insurance
Unless expressly included, travel insurance is not part of your booking. We may offer or refer insurance options, but the policy is issued and administered by the insurer and is subject to its own terms, exclusions and claims process.
Declining insurance may expose you to nonrefundable losses. Voldeluxe does not decide insurance claims and does not guarantee coverage.
17. Accessibility and special assistance
Please tell us about mobility, medical, sensory or other assistance needs early enough for us to communicate relevant requests to suppliers. Airline and hotel accessibility services remain subject to applicable law, supplier processes and operational capability.
For urgent airport assistance, contact the operating airline or airport in addition to Voldeluxe.
18. Force majeure and events beyond our control
Voldeluxe is not responsible for failure, delay or additional cost caused by events outside our reasonable control, including weather, natural disasters, epidemics, government action, war, civil disturbance, strikes, air-traffic restrictions, supplier insolvency, airport closures, technology outages, cyber incidents or other extraordinary events.
This clause does not remove any non-waivable consumer rights or statutory refund rights that apply despite such an event.
19. Supplier acts and limitation of Voldeluxe responsibility
Because suppliers operate the underlying travel services, Voldeluxe is not liable for a supplier's acts, omissions, delays, cancellations, overbooking, denied boarding, baggage handling, accommodation condition, personal injury or other performance failure, except to the extent liability is imposed on Voldeluxe by applicable law or arises from Voldeluxe's own wrongful conduct.
To the fullest extent permitted by law, Voldeluxe will not be liable for indirect, incidental, special, exemplary or consequential damages arising from use of the website or travel services. Any limitation is subject to non-waivable rights under applicable law.
20. Website use and intellectual property
Website content, branding, design, text, graphics and software are owned by or licensed to Voldeluxe and may not be copied, scraped, republished or commercially exploited without permission, except as permitted by law.
You may not use the website for fraudulent bookings, automated abuse, interference with security, unlawful activity, impersonation or attempts to obtain unauthorized access.
21. Communications, email, SMS and WhatsApp
You consent to receive transactional communications reasonably necessary to service your trip at the contact details you provide. Marketing messages are sent only as permitted by law and may be opted out of using the method provided in the message.
Messaging and data rates may apply. Electronic communications can be delayed or intercepted; urgent same-day travel issues should also be raised by phone with the relevant airline or supplier when appropriate.
22. Privacy
Our Privacy Policy explains how we collect, use, disclose and retain personal information. It is incorporated into these Terms by reference.
23. Complaints and problem resolution
Contact Voldeluxe promptly if a problem arises so we have an opportunity to assist. For airline operational issues at the airport, also seek help directly from the operating carrier.
Nothing in this section prevents a consumer from contacting a regulator, card issuer or court where legally permitted.
24. Governing law and venue
These Terms are governed by the laws of the State of Texas, without regard to conflict-of-law principles, except where mandatory consumer law requires otherwise. Subject to any enforceable arbitration agreement or mandatory jurisdiction rule, disputes may be brought in a court of competent jurisdiction in or serving Dallas County, Texas.
25. Changes to these Terms
We may update these Terms prospectively. The version in effect when a booking is made will generally govern that booking unless a later change is required by law or separately agreed. The "Last updated" date above identifies the current website version.
26. Severability and no waiver
If a provision is held unenforceable, the remaining provisions remain effective to the extent permitted by law. A failure to enforce a provision on one occasion does not waive the right to enforce it later.
